Bulk Custom Photo Buttons: How To Order 100, 500, or 1,000 Without Losing Your Mind
August 14, 2026·7 min read

Quick answer
Three things set the price of a bulk button order: quantity, number of different designs, and how print-ready your artwork is. Send high-resolution files once, approve one proof per design, and allow extra production time — large runs of 100 to 1,000 are scheduled, not squeezed in.

Ordering ten buttons is easy. Ordering five hundred is a project — and most of the difficulty has nothing to do with printing. It is the file naming, the roster spreadsheet, the person who sends a screenshot instead of a photo, and the design that nobody approved until the day before the deadline.
This guide is how to run a large button order cleanly, whether you are a school, a church, a nonprofit, a reunion committee, or a company ordering for a conference.
The three numbers that set your price
Every bulk button quote comes down to the same three inputs. Have them ready and a quote takes minutes instead of days.
- Total quantity — the single biggest lever on per-piece cost.
- Number of unique designs — one design at 500 pieces is a different job than 100 designs at 5 pieces each.
- Deadline — a comfortable timeline costs less than a compressed one, because compressed work reorders everything else in the shop.
Prepare your files once, correctly
Ninety percent of bulk-order delays are file problems. A short checklist prevents nearly all of them:
- Send original photo files. Not screenshots, not images pulled from social media, not photos of photos on a screen.
- Name each file for the person or design it belongs to, exactly matching your list.
- Send one spreadsheet with the design name, the text for each button, and the quantity per design.
- Collect everything before submitting. Trickling files in over two weeks is what pushes a deadline.
- Flag any photo you already know is old, dark, or blurry so we can address it up front.
One design or many
Single-design bulk runs — a logo, an honoree, a campaign image — are the cheapest and fastest. Multi-design runs cost more per piece because each layout is built and proofed separately, but they are what most organizations actually want, because the point is the individual face.
A useful middle path: one shared frame and color treatment, with the photo and name swapping inside it. The set looks unified, the layout work stays efficient, and every person still gets their own button.
Proofs and approval on a large order
On a multi-design order we proof a representative sample first — usually two or three layouts — so you approve the look before we build the remaining designs. Then you get the full set to check for name spellings and photo matches.
Name spelling is the one thing we cannot catch for you. Have a second person read every name against your roster before you approve. It takes ten minutes and prevents the one mistake that is expensive to fix.
A moment worth keeping
Moments that whisper are worth remembering. Because moments fade. Love doesn't.
Lead time and shipping
Production runs 7 to 10 business days after final proof approval. Large multi-design orders sit at the longer end of that window. Add shipping time on top, and add a buffer week if the order is tied to a fixed event date.
Bulk orders arrive sorted and labeled by design when your list is organized that way — one more reason the spreadsheet is worth doing properly.
Why photo buttons travel further than you'd think
Custom photo buttons are small, wearable, and easy to hand out — which is exactly why they have such a long life. People pin them to backpacks, lanyards, jacket lapels, memory boards, and bulletin boards in church fellowship halls. A button moves through a community in ways a card or a flyer never could.
You bring the photograph and the moment. We help with sizing, layout, and the subtle design choices that keep the focus on the face, the feeling, the message. The button becomes the little reminder that travels home in someone's pocket.

Is there a minimum order?
+
No minimum. Small orders and orders in the hundreds are both welcome — quantity affects the per-piece price, not whether we will take the job.
Can a bulk order include many different photos?
+
Yes. Multi-design orders are common. Send one spreadsheet listing each design, its text, and its quantity, with photo files named to match.
How long does a large order take?
+
7 to 10 business days after final proof approval, plus shipping. Large multi-design runs take the longer end of that range.
